Operations & Executive Assistant
What you want to do
The Operations & Executive Assistant will play a critical role in supporting the executive team, managing day-to-day operational user support for our US clients, and ensuring the efficient functioning of the organization. This dual-focused role requires a highly organized, detail-oriented professional with excellent communication skills, an ability to handle multiple tasks under tight deadlines, and strong discretion with sensitive information. The successful candidate will act as a key liaison between various departments and ensure reliable and fast support for our clients. This is a full-time, hybrid position (min. 2 days on-site) that may occasionally require flexibility with hours to accommodate executive schedules and events.
What You will be responsible for
Executive and administrative support
- Manage executive calendars, schedule meetings, appointments, and travel arrangements.
- Prepare and review documents, presentations, and reports for the executive team.
- Assist with expense reports, billing, and tracking budgets.
- Provide administrative support for human resources functions, including onboarding, scheduling interviews, and tracking employee records.
- Manage communications, including answering phones, handling inquiries, and routing messages.
- Provide additional administrative support as required, ensuring a proactive approach to problem-solving.
Operational user support for our customers
- Support daily operational functions, ensuring smooth customer service and adherence to service level agreements.
- Respond to customer support requests and, if necessary, coordinate customer requests or operational activities with our project and development teams in Europe.
What we are looking for
- Bachelor’s degree in business administration, communications, or related field preferred.
- Proven experience in an operations or executive assistant role, with 2+ years of relevant work.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- High level of discretion and confidentiality.
- General knowledge of software solutions and the ability to learn new software.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team, handling both large and small tasks with equal diligence.
Additional Skills (Preferred)
- Experience in software support functions.
- Familiarity with supply chain management and/or logistics.
- Experience with CRM systems (e.g., HubSpot) is a plus.
